The Development Associate maintains critical donor, alumni, and relationship information in the school’s constituent database, and in other data sources as needed. The Development Associate is responsible for also providing timely, accurate information to the Development Team members as needed for all fundraising and reporting activities that fall under the Development departments responsibilities, and also for other departments as needed for their communications and reporting efforts (e.g. [HS]2 summer program, business office, Head of School, etc). The Development Associate also produces critical fundraising documentation as needed for impact, annual and performance reporting to external stakeholders, including donors, school and nonprofit organizations, accrediting agencies, and other entities as needed. The Development Associate also provides general support for the Development Team as needed for special events and activities.
Daily constituent records maintenance, including but not limited to:
Biographical, contact, and personal information updates from all sources: gift checks and online gift submission forms; direct correspondence from Development and other CRMS staff, and publicly available information
Gift record updates
Other data and information updates as needed
Daily gift processing & recording in database: cash, stock, and in-kind for all development activities (Annual Giving, Planned Giving, Capital/Special Giving, Endowed Giving, Campaign Giving, Giving Events)
Gift pledge documentation & tracking: capital, multi-year, and other pledges
Weekly, Monthly and Annual Gift reports as needed or requested from Development team, business office, Head of School and/or Trustees
Produce Weekly, Monthly and Annual reconciliation and auditing documentation in close coordination with Business Office
Provide accurate constituent contact lists to Development team as needed for mailings, phone-a-thons, email communications, and other communications needs.
Ensure timely/accurate database clean-up and other updates to constituent database for beginning of year/end of year activities
Additional projects and activities may include but are not limited to:
Data for and completing accreditation documentation
General assistance for development, alumni and parent events and activities
Other financial and analytical reports as requested
Required: experience in data entry, gift entry, database management, or other computer data systems
Preferred: experience with The Raisers Edge NXT, The Raisers Edge, or similar donor constituent database system
Required: strong command of Windows and Mac computing environments, and comfort with learning new software
Required: strong problems-solving abilities, especially in helping others understand, analyze, and use data to support decision-making, strategic planning, and other tasks important in an educational environment
Required: strong written and spoken English proficiency
Required: demonstrated ability to work effectively under time constraints
Required: calm demeanor and pleasant, professional presentation
